While organising large conferences and congresses it is difficult to take control of all the agenda, especially for its scope. For this purpose there was developed a specialised database system in accordance with Orgit requirements. Prior advantage of this system is that each registered participant gets his own password to enter the database for managing his registration, accommodation, social services, payment procedures etc. All this reduces necessary agenda.
The Conference System (CS) consists of two sections - Public and Administrative.
After participant enters his personal data into the Public Section a password is created allowing him to enter his User Pages any time he wants. User Pages allow him to register for the Conference, to register a paper (incl. summary/full-text upload), to order Ladies and Social Program, and to book accommodation. When a participant makes his orders CS generates deposit invoices with two choices of payment - by bank transfer or by credit card (secured by HTTPS). Each ordered and even already paid item can be changed any time.
The Administrative Section is accessible only by the Conference Organizers. Among its features belong the ability to manage participants requests and to keep record of important changes (can be used for participant- or paper-history, for statistics etc.). The CS also includes a Mailing Central for sending e-mails to all registered participants with reminders on registrations, papers or payments. The CS Administration, featuring Paper Evaluation tools, Author Index Generation (incl. affiliations) and letters printing (acceptance, rejection and invitation), is ideal to be used by the Scientific Committee to create the Scientific Program via Internet. On the other hand the Organising Committee appreciates tools to manage and print invoices, to print Participation Data (review of items ordered by participant and his payment balance) and to have exact numbers of participants arrived.
